Job Title: Admin Assistant

Location: Baghdad, Basra 

Department: Operation 

The role reports to: Operation Manager 


  

JOB RESPONSIBILITIES:


● Receive all client’s requests for Ikama procedures (Blood test,  Ikama issuance or Ikama renewal).

● Receive all client’s requests for visa and exit visa.

● Follow and get knowledge of all government’s procedures for the above procedures.

● Record all requests and post them in the trackers.

● Follow with our subcontractor for the procedure development.

● Scan and arrange all issued Ikamas, visas and exit visas.

● Update the system with issued status and upload the   scanned documents.

● Report the expenses of Ikama issuance number, penalties’ fees (if any), and exit visa issuance with names and employees’ details.

● Maintain the records accurate o the trackers.

● Follow with all government new regulations and   instructions to update the clients. 

● Follow all Ikama records and being ready to print the   passport’s copies with Ikama’s copies on need.

● Follow the office supplements and needs.

● Report the client with daily status for all procedures.

● Follow with the transportation expenses for the operation and record them.


QUALIFICATIONS:


● Bachelor’s degree in administration or other related fields.

● Proven work experience at least one year in the same Field.

● PC literacy and experience with MS Office applications.

● Knowledge of labor legislation.

● Ability to speak and write effectively in English, Arabic.

● Teamwork skills.

● Excellent interpersonal, organizational and communication skills.

Job Title: Immigration Officer 

Location: Baghdad, Basra 

Department: Operation

The role reports to: Operation Manager 


 

 JOB RESPONSIBILITIES:


● Undertaking visa related casework (assess, investigate, and decide) for Immigration services to Iraq, applying the relevant legislation, letters, and documents to make lawful and fair decisions in accordance with the relevant guidelines and regulations.

● Applying and interpreting relevant legislation, policies, and procedures to process visa applications, within service standards in a pressured environment, escalating sensitive and complex cases to senior staff in accordance with office protocols

● Preparing moderately complex written documentation for visa applicants, including the preparation of visa decision records and client correspondence

● Preparing recommendations on visa applications for the client based on following up and research and well-established policy and practices.

● Maintaining records, including, but not limited to, client files and financial management

● Developing and maintaining relationships with internal and external stakeholders including with local authorities and visa delivery teams to achieve departmental business objectives

● Organizing and taking responsibility for own workload, working cooperatively and harmoniously to deliver services to clients in accordance with the client service standards.

● Supporting risk management strategies and integrity standards in visa processing, including by maintaining knowledge of risk profiles and indicators in caseloads and reporting integrity concerns and trends.

● Investigating the integrity of documents and other information in connection with visa applications

● Interviewing clients and requesting additional information to support visa applications

● Liaising with a range of internal and external stakeholders and representing the work area at meetings as required

● Financial responsibilities including refund/repayment processing and reconciling for advanced payments and paid fees. 

● Coordinating and monitoring incoming and outgoing email correspondence.


  

 QUALIFICATIONS:


● Bachelor’s degree in administration or other related fields.

● Proven work experience at least 3 years in the same Field.

● Strong written and oral English language communication skills

● Demonstrated sensitivity to the needs of clients from a variety of backgrounds and with varying demands. Such situations may include telephone interaction, interviews, liaison and representation, preparing reports and correspondence.

● Demonstrated ability to respond and adapt to change. apply initiative, flexibility, and willingness to pursue continued improvement in the context of change within the organization

● Highly developed time management skills, both individually and as part of a team, and the ability to work effectively, cooperatively and flexibly in a team environment to respond to priorities and meet deadlines

● Demonstrated analytical skills with an ability to use multiple datasets and/or interpret and apply complex legislation and apply sound judgement in all cases.

● Experience in an application processing environment.

● Proficiency in computer software applications including Microsoft Word and Excel, and the capacity to learn new systems.

Job Title: Operations Manager

Location: Baghdad, Basra

The role reports to: Country Manager


JOB RESPONSIBILITIES:


● Lead functional projects, recognized as subject matter expert and reference for day-to-day questions about firm-wide processes and methodologies by case teams

● Solve unique problems for own internal clients and stakeholders that have a broad impact on the business, continuously looking for and implementing process improvements, exercising judgement and identifying innovative and cost-effective solutions

● Work closely with the relevant Practice’s Management Team and support the growth of the Practice by critically evaluating existing work process accordingly and setting up the operational infrastructure for launching new service lines

● Identify issues on team and create planned/staged resolution(s), working with case team and central operational efficiency team

● Implement new or amended processes; creating implementation plans, embed changes (test and integrate), maintain process implementation (review and analyse) and set up controls such as KPIs, Issues log, feedback log and regular process reviews are in place

● Create new case types, online questionnaires, and online forms

● Oversee in-team induction of new starters and offboarding of leavers

● Create and maintain team SharePoint sites

● Monitor SAP billing goals, identify areas of risk and proactively create and implement action plans in close partnership with inbound Managers and Partners

● Work with Shared Services to efficiently outsource tasks, draft how to guides and provide training

● Create, maintain, schedule and analyze reports for team and clients

● Identify learning gaps, developing whole team training and resources, deliver training

● Create, oversee and manage projects including working New Frontiers corporate teams in beta testing

● Manage case team members where relevant

● Assist other case team operations managers within the region to support with workload where it is relevant.


QUALIFICATIONS:


● Bachelor’s degree in administration or other related fields.

● Proven work experience at least 7 years in the same Field.

● Strong written and oral English language communication skills.

● Excellent communication skills with ability to effectively partner with business leaders and non-technical stakeholders.

● A demonstrated ability to capture and synthesize business requirements.

● Creative and continuously looking for improvements in execution and results.

● The ability to work pro-actively, independently and in team across geographic boundaries and willing to be hands-on.

● Follow the Clients for any pending payments, that’s been   submitted by him.

● Comply with company requirements and duties.

● Working on SAP system to complete all reports and   invoices.

● Any other reasonable duty as may be assigned that is   consistent with the nature of the job and it’s level of responsibility.
